Valtaris values the protection of personal data. In this privacy policy we explain which personal data we collect, what we use it for, how we protect it and which rights visitors and clients have.

Depending on the service someone uses, Valtaris may process, among other things, the following personal data:

  • first and last name;
  • email address;
  • phone number;
  • appointments and availability;
  • information provided during an intake or introductory meeting;
  • training goals and training data;
  • progress data and body measurements;
  • photos or videos voluntarily provided for coaching or technique feedback;
  • invoice and payment details;
  • communication via email, WhatsApp or other communication channels;
  • technical data about the use of the website, insofar as this is actually collected.

For safe and personal guidance, it may be necessary to process information about, for example, injuries, physical limitations or other relevant health factors.

This data is only processed when necessary for the guidance and when a valid legal basis exists. Where necessary, explicit consent will be requested.

4. What do we use personal data for?

Valtaris may use personal data for:

  • responding to enquiries;
  • scheduling introductory meetings and intakes;
  • managing appointments;
  • delivering Personal Training, Partner Training, Online Coaching and Premium Coaching;
  • tailoring training sessions to personal goals and circumstances;
  • tracking progress;
  • providing technique feedback;
  • communication with clients;
  • payments, invoicing and administration;
  • improving and securing the services and website;
  • complying with legal obligations.

5. Legal bases for processing

Valtaris processes personal data when:

  • this is necessary to perform or prepare an agreement;
  • this is necessary due to a legal obligation;
  • Valtaris has a legitimate interest in doing so;
  • someone has given consent where consent is legally required.

6. Online appointments

Valtaris uses Acuity Scheduling for booking and managing appointments.

This may involve processing, among other things, name, contact details, the chosen service, and the date and time of the appointment.

7. Calendar

Appointments may be linked to Google Calendar for managing scheduling and availability.

Only data necessary for this purpose is used.

8. Communication

When someone contacts us via email, phone, WhatsApp or a contact form, Valtaris processes the data necessary to respond to the message and to deliver the services.

9. Photos and videos

Photos and videos that a client provides for coaching, progress assessment or technique feedback are only used for the agreed purpose.

Photos or videos of clients are not published or used for marketing, social media or the website without separate consent.

10. Sharing personal data

Valtaris does not sell personal data.

Personal data may only be processed where necessary by external service providers in the areas of:

  • appointments and scheduling;
  • email;
  • calendar;
  • website hosting;
  • technical services;
  • payment processing;
  • bookkeeping and administration.

11. Processing outside the EEA

When external service providers process personal data outside the European Economic Area, appropriate legal safeguards are applied in accordance with the GDPR.

12. Retention periods

Valtaris does not retain personal data longer than necessary for the purpose for which it was collected, unless a statutory retention obligation applies.

Financial administration is retained for the statutory tax retention period.

Health data, progress data, photos and videos are not retained longer than necessary for the guidance or the agreed purpose.

Valtaris takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access and unauthorised changes.

14. Cookies

The website may use functional cookies that are necessary for the proper functioning of the website.

Analytical, tracking or marketing cookies for which consent is legally required may only be activated after the visitor has given consent.

15. Privacy rights

Visitors and clients have, depending on the situation, among other things, the right to:

  • access their personal data;
  • rectify their personal data;
  • have their personal data erased;
  • restrict processing;
  • object to processing;
  • withdraw previously given consent;
  • data portability where this right applies.

16. Changes

Valtaris may amend this privacy policy when its services, website or legislation changes.
